Privacy at a Glance
Key operational facts derived directly from ScanPDF's actual codebase
Temporary File Lifecycle
Files submitted to server conversion tools reside temporarily in isolated system scratch folders during execution and are deleted from disk immediately upon download delivery completion via streaming response handlers.
No Account Required for Tools
All document, image, and media converters can be used freely without registration. Account creation is strictly optional and is used exclusively for users saving dynamic QR codes and managing custom short URLs.
Permission-Based GPS
Short URLs do not track physical GPS coordinates unless the link owner explicitly enables "Require GPS" and the visiting user affirmatively grants browser geolocation permission. Without explicit permission, no coordinates are stored.
Direct Advertising & Analytics
ScanPDF utilizes Google Analytics (GA4) to measure site performance and Google AdSense to display web advertising. ScanPDF does not sell user data, personal records, or uploaded content to third parties.
Differentiating Temporary vs. Persistent Data
ScanPDF segregates ephemeral processing data from persistent database records
Temporary / Processing Data
- Conversion Source Files: Uploaded documents, images, and audio/video inputs saved temporarily to server scratch directories with randomized UUIDs during processing.
- Generated Conversion Outputs: Streamed directly to your browser and unlinked/deleted from disk via dedicated cleanup response handlers upon stream closure.
- Client-Side Local Editor Files: Handled entirely inside the user's browser via WebAssembly (FFmpeg.wasm). No frames or video files are uploaded to our servers.
- Temporary Video Intermediate Files: Cleaned up automatically after execution; video processing directories enforce temporary age thresholds.
Persistent Product Records
- Account Credentials: Username, email address, and one-way cryptographically hashed passwords for registered users managing dynamic links.
- Dynamic QR & Short URL Records: Target destination URLs, custom aliases, QR design choices, link expiry parameters, and optional QR logos stored in media assets.
- Short Link Analytics Logs: Click event timestamps, referring domains, device category, IP-derived approximate geographic region, and consent-based GPS coordinates (if enabled).
- Support Inquiries: Contact form submissions, user messages, submission IP, user-agent metadata, and ticket reference identifiers stored to resolve customer inquiries.

File Processing Architecture
How uploaded files are received, processed, and cleaned up
ScanPDF provides reliable server-side conversion pipelines for complex document, image, and media operations. Because file confidentiality is paramount, our conversion architecture enforces strict lifecycle isolation:
Server-Side Processing Flow: Files submitted to our standard converters (e.g. Word to PDF, Merge PDF, Compress PDF, Image to PDF) are uploaded to server temporary directories with randomized UUID naming to prevent naming conflicts. Processing tools execute transformations on these isolated temporary files.
Our file processing lifecycle follows three core rules:
- Input Removal: Once the server-side conversion process produces the resulting output file, input source files are unlinked (deleted) from server disk immediately.
- Output Streaming Cleanup: Output download files are delivered to your browser via a specialized streaming response class (
FileCleanupResponse). When your download finishes and the connection stream closes, the temporary output file is deleted from server storage immediately. - No Content Inspection or Mining: We do not inspect, read, index, summarize, or monetize the contents of your uploaded documents or media files. Content is processed solely to execute the requested technical conversion.
Client-Side vs. Server-Side Execution
Differentiating local browser execution from cloud conversion
ScanPDF does NOT make false blanket claims that "all files never leave your computer." Instead, we clearly distinguish between our two operational models:
1. Server-Side Processing
Document conversions (Word, Excel, PowerPoint to PDF), image transformations (format conversion, resize, compress), and video processing pipelines are executed on backend servers using dedicated software tools. Files are uploaded temporarily to complete the conversion.
2. Client-Side Browser Processing
Specialized tools—specifically our in-browser Video Editor (Scan PDF) at /video/editor/—utilize WebAssembly (FFmpeg.wasm) and HTML5 Canvas. In these specific tools, your media files are loaded directly into browser memory and processed locally without sending video streams to the server.
Additionally, companion utilities such as the standalone Invoice Generator at https://invoice.scanpdf.co.in/ operate as client-focused web tools allowing instant local generation and printing of invoice documents.

One-Way Cryptographic Salted Hashing
PBKDF2 with SHA-256 algorithm; passwords never stored or accessible in plaintext.
Optional Scope Only
Converters remain 100% anonymous; accounts exist purely for saving dynamic links.
Self-Service Deletion
Users can modify, deactivate, or delete saved dynamic QR codes at any time.
User Accounts & Authentication
Optional registration details and credential security
Use of ScanPDF's general converters, PDF utilities, image editors, and media tools is completely anonymous and does not require account registration.
Account registration is optional and specifically provided for users who wish to create, manage, and monitor dynamic QR codes and customized short URLs through the user dashboard.
When you register an account, ScanPDF stores:
- Account Identifiers: Your chosen username and primary email address.
- Cryptographic Password Hashes: Passwords are encrypted using Django's standard PBKDF2/SHA-256 cryptographic one-way hashing algorithms with unique cryptographic salts. Plaintext passwords are never stored, logged, or accessible to site administrators.
- Account Records: Dynamic QR designs, short URL records, custom domain settings, and account preference configurations associated with your user identifier.
- Password Recovery State: One-time password (OTP) verification tokens generated during password reset requests, which expire automatically after use or time limit.
Dynamic QR Codes & Short URLs
Data configurations stored for link routing and dynamic QR generation
ScanPDF provides dynamic QR code generation and short URL redirection. Unlike temporary file conversion, dynamic links inherently require persistent database records to route visitors to their configured destinations:
- Link Attributes: Destination URL, short code identifier (e.g., 8-character token), custom alias (if configured), and custom header path segments.
- QR Visual Customization: Color palettes (foreground and background hex codes), body style, eye shape, ball shape, and error correction levels.
- Uploaded Branding Assets: If you attach a company logo or background image to a dynamic QR code, that image file is stored in our media directory to generate the rendered QR code graphic.
- Access Restrictions: If a creator configures password protection or expiration timestamps, the hashed access password and expiration date are stored to enforce authorization upon redirect.
- Payload Types: Non-URL dynamic QR types (such as vCard contacts, Wi-Fi configuration details, event schedules, or text payloads) store structured JSON fields required to construct the QR code payload.

Short Link Analytics & Event Tracking
Technical event parameters captured during link redirect execution
When an end-user navigates to a ScanPDF short URL or scans a dynamic QR code, our redirect engine records technical event metrics to provide the link creator with aggregate scan and performance analytics.
Logged Analytics Fields: Individual click and scan logs record the access timestamp, referring domain (HTTP Referrer), browser name, operating system, device classification (desktop, tablet, mobile), incoming UTM marketing parameters, redirect result (success, password challenge, expired, bot ignored), and a one-way hashed visitor identifier (hashed IP + User-Agent) used exclusively to calculate unique visitor counts without exposing raw user identities.
ScanPDF also determines approximate geographic locations (country, region, and city) derived from the incoming IP address via server-side GeoIP lookup services. This lookup approximates network origin and does NOT access device hardware.
Location Data & Optional GPS Verification
Distinguishing standard IP geolocation from permission-based GPS tracking
ScanPDF treats geographic data with strict technical precision. We maintain a clear boundary between approximate network geolocation and precise physical GPS coordinates:
1. Standard Network Geolocation (GeoIP)
For all standard short links and dynamic QR codes, our server performs an approximate IP-based lookup using an external GeoIP service provider (ipwhois.app). This provides country, region, and city approximations based on internet service provider routing. It does not access your device's physical sensors or precise coordinates.
2. Optional Permission-Based GPS Verification
Short-link creators may optionally enable a "Require GPS" setting for specialized workflows (such as authorized check-ins or localized access). When this feature is active:
- The redirect page pauses before forwarding and displays a notification indicating that location verification is requested.
- Your web browser or mobile operating system displays its standard, native permission prompt asking: "Allow ScanPDF to access your location?"
- If you grant permission: The browser transmits latitude, longitude, and accuracy radius to our server, where it is recorded alongside the scan timestamp.
- If you decline or deny permission: No GPS coordinates are recorded. Our server logs a permission outcome of
gps_deniedorunavailable, and the redirect proceeds or halts according to the creator's link rules.
Visitor Transparency: ScanPDF never bypasses browser permission controls. GPS coordinates cannot be obtained without your explicit, voluntary browser approval.
City/country estimation based on public IP routing; zero hardware sensor access.
Device prompt: "Allow location?" If denied, 0 coordinates captured.
