Moving Word Content into Rich Text Format
Rich Text Format (RTF) is a standardized document exchange syntax developed to facilitate cross-platform file transfer without dependency on proprietary software versions. During conversion, ScanPDF translates complex OpenXML elements into plain 7-bit ASCII control words that any text editor can parse.
Universal Control Words
Formatting directives such as bold (\b), italics (\i), and paragraph breaks (\par) are encoded in human-readable ASCII syntax starting with {\rtf1.
Font & Color Tables
Document font declarations and color palettes are organized into global header tables, mapping text styling across different word processors.
Structured Tabular Output
Multi-column grids from Word are converted to standard RTF row control groups (\trowd and \cell) to preserve tabular structure.
Architectural Differences: DOCX vs RTF
Parser Architecture
DOCX is a zipped container of XML files requiring an XML parser and schema definitions. RTF is a continuous stream of plain ASCII characters and curly-bracket scopes requiring only simple tokenization.
Macro-Free Security
Unlike Word templates and macros (.docm), standard RTF files cannot execute Visual Basic for Applications (VBA) macro payloads, making them safer for legal exchanges and automated email pipelines.
Application Support
RTF opens natively in built-in operating system accessories such as Windows WordPad, macOS TextEdit, Linux LibreOffice Writer, Scrivener, and automated document indexing software without MS Office licenses.
Technical Limitations for Complex Word Documents
While RTF is exceptionally compatible for textual reports, legal briefs, manuscripts, and tables, certain advanced Microsoft Office proprietary features cannot be represented in RTF:
SmartArt & Vector Drawings
SmartArt graphics and dynamic shapes are either simplified or omitted in standard RTF specifications.
Equations & Advanced MathML
Modern Office MathML equations will be converted to plain text representations or raster images where supported.
Content Controls & Forms
XML data bindings and Word interactive dropdown controls are flattened into standard textual values.
File Size Expansion
Uncompressed RTF ASCII streams for large documents containing numerous images will be larger in file size than zipped .docx files.
